GS Car Hire’s Terms and Conditions


All bookings made with GS Car Hire are subject to the terms and conditions shown on this page and you are over the age of 18. We highly recommend you read these prior to booking with us. Once booked it is assumed these terms and conditions have been read and accepted. Amended on Friday 19th May 2017.


About Us

GS Car Hire is a family operated chauffeur driven car hire business. GS Car Hire is a fully registered private hire operator licensed by Transport for London (TFL) Taxi & Private Hire (TPH), licence number 009021. We are registered at Talbot House 10C, 204-226 Imperial Drive, Rayners Lane, Harrow, Middlesex, HA2 7HH.


Interpretations

  1. We/Our/Us/Company is defined as GS Car Hire.
  2. Client is defined as the person making the booking and can be an private individual or an individual on behalf of a company/organisation. The client is responsible for any payments.
  3. Passenger is defined as the person travelling in the booked vehicle/s. The passenger may also be the client.

Quotations

  1. When GS Car Hire provide a quote / quotation / fulfil a price request, it has been done so based on the information provided and vehicle availability on the date/s required.
  2. A quote is not an indication of a booking and a booking is only confirmed once GS Car Hire has provided a booking confirmation sheet and the client has agreed to the information published on the booking sheet.
  3. We advise the client to check for any errors and report any mistakes or changes at the earliest time possible with at least a minimum of 24 hours notice for all bookings. In addition, we advise booking our services and cars at the earliest possible time to avoid disappointment. Quoted price will exclude all other charges as mentioned in the payment and deposit terms and general terms and conditions sections.
  4. Unless a date has been provided, all quotes provided are based on a normal day and any bookings between 17:00 24th December to 27th December 05:00 and 17:00 31st December to 2nd January 05:00 will be subject to a 50% surcharge unless otherwise agreed. No surcharge on any other UK holiday or bank holiday apply.

Types of Bookings

GS Car Hire offer a complete chauffeur driven car hire service for any occasion and bookings are defined in three categories: “short notice booking”, “standard booking” and “special booking”.

  1. Special Booking: This type of booking is classified as one or a combination of the following. Bookings for more than three days, special vehicle hire (Bentley, Rolls-Royce, Minibus or Sub-contract bookings), multiple vehicle hire (three or more than three), bookings on events, bookings on Christmas & New Years and bookings on special occasions (weddings).
  2. Standard Booking: This type of booking is classified as one or a combination of the following. Bookings are but not limited to transfers, hourly hire (hourly hire bookings are based on a minimum 3 hour hire, each hour includes a mileage allowance of 10 miles per hour, minimum 5 hour hire applies to our prestige fleet including but limited to Bentley, Rolls-Royce and Minibuses) and all other bookings other than those mentioned in the special booking classifications section.
  3. Short Notice Booking: This type of booking is classified as all of the above but is booked less than 24 hours before the first pickup. Please note for bookings less than 24 hours, we recommend you call us directly rather than the other options available (online or email).

Payment and Deposits Terms

  1. GS Car Hire provide various payment options, payment by: credit / debit card, BACS transfer, PayPal transfer or Cash. Account facility available after approval and satisfaction of all documents, contracts and financial checks.
  2. A 4% surcharge applies to all credit card payments over £100.00. No surcharge applies to debit card payments.
  3. “Normal booking” requires a 35% deposit with remaining balance due 24 hours in advance (if payment is by credit/debit card) or 72 hours in advance (if BACS or PayPal transfer) unless prior agreement is made. If so, you will be advised at the time of booking.
  4. “Special booking” may require a higher deposit and the remaining balance due 48 hours in advance (if payment is by credit/debit card) or 96 hours in advance (if BACS or PayPal transfer) unless prior agreement is made. If so, you will be advised at the time of booking.
  5. Full payment is required unless prior agreement is made for “short notice booking”. If different, you will be advised at the time of booking.
  6. Your booking will be cancelled and the client will be notified if payment or the agreed payment terms have not been fulfilled.
  7. Your booking/s may incur additional charges unless agreed prior or included in the price at the time of booking. Car park fees and tolls are charged at cost. Waiting time charged in 15 minute increments. Extra mileage and hours charged as per vehicle rate.
  8. GS Car Hire reserve the right to charge for any additional services, changes or variations than those already agreed once a booking has been made and a price has been agreed.
  9. Any extra charges will need to be paid on the day directly to the driver unless otherwise agreed. If the passenger has no cash available, an immediate payment can be made by card where the chauffeur will contact the office so you can process the payment with one of GS Car Hire’s booking managers.
  10. All prices are in Great British Pounds (GBP) and currently no VAT is charged on any booking with GS Car Hire.
  11. Any card payments made to GS Car Hire will be shown as “GS CAR HIRE” on your statement.

Cancellation and Refund Terms

Cancellation of any booked service can be made at any time. Please note the following terms for cancellations apply.

  1. Special Booking:
    1. More Than 48 Hours Notice = 100% Refund
    2. 36-48 Hours Notice = 75% Refund
    3. 24-36 Hours Notice = 50% Refund
    4. 12-24 Hours Notice = 25% Refund
    5. Less Than 12 Hours Notice = 0% Refund
  2. Standard Booking:
    1. More Than 24 Hours Notice = 100% Refund
    2. 18-24 Hours Notice = 75% Refund
    3. 12-18 Hours Notice = 50% Refund
    4. 6-12 Hours Notice = 25% Refund
    5. Less Than 6 Hours Notice = 0% Refund
  3. Short Notice Booking:
    1. More Than 24 Hours Notice = 100% Refund
    2. 18-24 Hours Notice = 75% Refund
    3. 12-18 Hours Notice = 50% Refund
    4. 6-12 Hours Notice = 25% Refund
    5. Less Than 6 Hours Notice = 0% Refund
  4. If full payment of the quoted price has been paid, the above refunds apply to the amount paid. If only a deposit has been paid and a cancellation has been made then the deposit is non-refundable and the remaining losses will still be charged to the client.
  5. You will still be charged and if paid in advance, no refund/compensation will be provided if the client is not present at the time or location agreed (no-show), the passenger/s is not fit for travel, the passenger/s are of threat to our vehicle or chauffeur, if the passenger/s have excessive luggage or the passenger/s are under the influence of but not limited to drugs or alcohol. In all cases extra charges still be apply.
  6. It is to be noted that GS Car Hire hold the right to cancel and or not at all process a booking at any time if we or our booking managers suspect any fraudulent activity.

Terms and Conditions

  1. All GS Car Hire chauffeurs are trained to arrive at the pickup location with a minimum of 15 minutes advance arrival, if not earlier than the agreed pickup time. We will do everything in our power to ensure our drivers are punctual but we cannot accept responsibility for any delay/s caused by circumstances that are out of our or our chauffeur’s control. This includes any missed flights.
  2. The minimal advance arrival is excluded at airport pickups where the chauffeur will enter the arrivals hall 20-25 minutes after flight landing unless otherwise agreed beforehand with the client/passenger. This also helps in reducing car park and waiting charges at the airport after the complimentary included services.
  3. Airport pickups as standard include meet & greet, flight monitoring and 55 minute waiting.  Private Jet Centre pickups and drop offs include 30 minute waiting and airside meet & greet. All other pickup locations include 15 minutes waiting. Extra waiting is charged at the vehicle hourly rate in 15 minute increments unless otherwise stated.
  4. Our chauffeurs will only drive at a suitable speed that is following all legal speed limits, traffic and road conditions. In addition, the chauffeur will travel by the most suitable route on the day unless agreed otherwise.
  5. GS Car Hire pass on the power to our chauffeurs to refuse any passenger/s that are but not limited to those found to be under the influence or carrying any illegal substance, weapons, alcohol or are of a threat. As mentioned in the cancellation and refund terms, you will still be charged for the service and if paid in advance, no refund/compensation will be provided.
  6. We have a no-smoking, no-eating and no-alcohol policy in all vehicles. In addition, no animals are allowed to travel unless agreed before hand and should be done so in writing.
  7. GS Car Hire at any time may use the assistance of sub-contractors to fulfil any booking. In most cases, the client will be informed of any work being sub-contracted however sometimes this may not be possible.
  8. GS Car Hire and any sub-contracted vehicle/s are fully insured for passenger and third party claims. But please note by booking GS Car Hire, we are not liable for any damage or loss caused to any property being carried in the vehicle/s. The client/passengers must take full responsibility of the property being carried.
  9. Only our chauffeurs are given permission to drive our vehicles.
  10. We have trained all chauffeurs to check for any left belongings and to return any at the time of occasion but if it cannot be returned at the scene, we will log any property left in any of our or sub-contracted vehicle/s and we will return any items to its rightful owner. Please note, charges may apply to return such property. In addition to this statement, GS Car Hire accept no responsibility for any items left in the vehicle.
  11. If necessary, the company may change your chauffeur or vehicle at any time. When such an occasion arises, we cannot guarantee the same colour but you will be guaranteed to receive the same class of vehicle and where possible, a complimentary upgrade may be provided.
  12. The client/passengers must take full responsibility for any damage to the vehicle either internally or externally, including sickness. All charges for repair or valet will be passed on at cost to the client/passengers. Depending on the severity of damage, a vehicle down time charge may still apply.
  13. Any complaints can be dealt directly with the chauffeur at the time the problem arises, you can call us directly and speak with a booking manager or you can pass such a complaint directly to the owner by email or by post. Business owner details can be provided on request and the business owner will respond within 28 days of receipt.
  14. GS Car Hire ensures to provide for any and all occasions but all services including any promotions are subject to availability.
  15. We offer free of charge any Baby/Child/Booster seats but this must be requested at the time of booking.
  16. We offer free in car Wi-Fi and phone charging facilities in most of our vehicles but please make sure the booking manager is aware of such a request so they can make sure the vehicle is sent with such facilities.
  17. Any terms and conditions listed by GS Car Hire do not affect the client/passengers statutory rights.
